I am currently working in a non-academic job, and starting a TT job in the fall. I have several conferences to attend between now and then. In the past I have used my non-academic job (which is at an academic institution) as an affiliation, but I would like to use my new school instead. When is it proper to change the affiliation on my conference registration/badge?

Since the primary reason for an academic affiliation on a conference name tag or on program copy (at least in my experience), is to know how to get in touch with the person for any number of reasons -- to invite submission to a roundtable or publication, to ask for the reference mentioned in the talk that I forgot to write down, etc. etc. etc. Thus though I'd find it perfectly respectable to list your new affiliation now, it actually makes more sense to wait at least until they give you an e-mail address. How about printing up a card for yourself with (1) current affiliation and e-mail and (2) affiliation beginning August 2012.

I realize you also want it for ego purposes, so you'll be identified as a faculty member at a reputable school rather than ignored . . . you could also take your name tag out of the plastic thingy and, with your handy felt tip pen, add "soon to be at Department, College/University." I'm sure I've seen that on people who were still affiliated with their graduate department when they sent in the conference registration; in other words, at conferences in the next few months.

Not until you've started the new job, or at least not until your new contract begins. If you have summer conferences that take place after the contract has begun, even if you are not yet in the new place teaching, I would use the TT affiliation. But for conferences prior to that, I would continue to use your current affiliation (but make clear in your intro/bio/cv info that you are about to start a new position at TT University and likely the panel chair will include this in your introduction).

Believe me, the second you start to use it before the contracted date, someone will be around to point that out to you!

Not that it really, really matters, but, technically, I would not use it until the contracted start date.

ps: It's not too early to start finding out from you current place if it is possible to have your email forwarded or even rerouted, and from your new place, how early you can set up a new email account. When you're in the midst of a move you may not want to think about such things.

I say if you're psyched about the new position, go ahead and list that as an affiliation.  It's not like affiliation in a publication, which should indicate where the work for the paper was carried out.

You might ask your new chair if they'd mind.  I'm sure they won't.

Agreed. Just go ahead and use your new affiliation, that is what I did at two conferences after I gave notice to but was still on the payroll at my old university. No one said anything negative at all.
